1. Introduction

SupplyBoard (“SupplyBoard,” “we,” “our,” or “us”) is an industrial platform that helps buyers, manufacturers, suppliers, and industrial service providers discover companies, manage requests for quotes, exchange technical information, and use related manufacturing, analytics, and platform services.

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you access or use our websites, platform, dashboards, forms, emails, RFQ tools, supplier profiles, account features, and related services.

By using SupplyBoard, you acknowledge that your personal information will be handled as described in this Privacy Policy.

2. Scope

This Privacy Policy applies to personal information collected through:

  • SupplyBoard websites and web applications;
  • user, supplier, buyer, and admin accounts;
  • supplier profiles and company claim workflows;
  • RFQ, quote, document, and file upload features;
  • CAD file viewing, conversion, rendering, or related technical tools;
  • email verification, password reset, account security, and transactional email flows;
  • Google account sign-in, if you choose to use it;
  • analytics, logs, security monitoring, and support communications.

This Privacy Policy does not apply to third-party websites, platforms, or services that we do not own or control.

3. Personal Information We Collect

We may collect the following categories of information.

Account information: name, email address, username, password hash, phone number, role, account status, verification status, company association, and account preferences.

Business and company information: company name, website, address, province, country, services offered, processes, machines, materials, certifications, capabilities, industries served, descriptions, profile content, claim information, and supplier or buyer contact details.

RFQ, quote, and transaction information: request details, quote details, project requirements, quantities, tolerances, materials, deadlines, shipping information, communication history, attached files, and related business documents.

Uploaded files and technical content: CAD files, drawings, specifications, images, documents, RFQ attachments, quote attachments, supplier documents, and other content you upload or submit through the platform.

Authentication and security information: login timestamps, IP address, browser type, device information, user agent, session information, password reset activity, authentication method, Google account identity information if you use Google sign-in, and other security logs.

Google sign-in information: if you choose to continue with Google, we may receive your Google account identifier, name, email address, email verification status, and profile information authorized through Google OpenID Connect. We do not request Gmail access and we do not read, send, or manage your Gmail messages.

Payment and billing information: billing contact information, plan information, payment status, invoice details, and transaction records. Payment card information may be processed by third-party payment processors and may not be stored directly by SupplyBoard.

Usage and analytics information: pages viewed, features used, search activity, referral URLs, device and browser data, approximate location based on IP address, interaction events, error logs, performance logs, and other analytics information.

Communications: messages, emails, support requests, feedback, form submissions, responses to surveys, and communications between users where platform features allow communication.

4. How We Collect Information

We collect information directly from you when you create an account, complete forms, claim a company profile, upload files, submit RFQs, request quotes, contact us, subscribe to communications, or use platform features.

We collect information automatically through cookies, logs, analytics tools, security systems, and similar technologies.

We may collect information from third parties, such as Google sign-in, payment processors, hosting providers, analytics providers, public business sources, supplier directories, or business data providers, where permitted by law.

5. How We Use Information

We use personal information for the following purposes:

  • to create, verify, secure, and manage user accounts;
  • to provide access to the SupplyBoard platform and services;
  • to connect buyers, suppliers, manufacturers, and industrial service providers;
  • to process RFQs, quotes, supplier claims, company profiles, and related workflows;
  • to display supplier and company information on the platform;
  • to process uploaded files, CAD files, drawings, specifications, and technical content;
  • to provide dashboards, analytics, reporting, search, recommendations, and platform features;
  • to send account, security, verification, password reset, password change, RFQ, claim, quote, and administrative emails;
  • to respond to support requests and communicate with users;
  • to detect, prevent, and investigate fraud, abuse, unauthorized access, security incidents, and misuse;
  • to improve the platform, user experience, search quality, performance, and reliability;
  • to comply with legal, tax, accounting, regulatory, and contractual obligations;
  • to enforce our General Terms and Conditions and protect the rights, safety, and property of SupplyBoard, users, partners, and others.

6. Consent

We collect, use, and disclose personal information with your consent where required by law. Consent may be express or implied depending on the circumstances, the sensitivity of the information, and your interaction with the platform.

You may withdraw consent where legally permitted. However, withdrawing consent may limit or prevent your ability to use certain features, including account access, RFQs, quote workflows, supplier profiles, transactional emails, or security-related services.

7. Cookies and Similar Technologies

We use cookies and similar technologies to operate the platform, maintain secure sessions, remember preferences, analyze usage, improve performance, and protect against fraud or abuse.

Some cookies are necessary for authentication, security, CSRF protection, and session management. Other cookies or analytics technologies may help us understand how users interact with the platform.

You may control cookies through your browser settings. If you block necessary cookies, parts of the platform may not work properly.

8. Transactional and Marketing Emails

We send transactional emails related to account creation, email verification, password reset, password change, security alerts, company claims, RFQs, quotes, supplier profiles, and other platform operations.

Transactional emails are necessary for platform functionality and security. You may not be able to opt out of essential transactional or security emails while maintaining an active account.

We may also send marketing, product, newsletter, or promotional emails where permitted by law. You can unsubscribe from marketing emails using the unsubscribe mechanism included in those emails or by contacting us.

Unsubscribing from marketing emails does not stop transactional or security-related emails.

9. How We Share Information

We do not sell personal information.

We may share information with the following categories of recipients:

Service providers: cloud hosting providers, database providers, email delivery services, analytics providers, payment processors, security providers, file storage providers, and other vendors that help us operate the platform.

Buyers, suppliers, and manufacturers: information you choose to provide through RFQs, quotes, company profiles, supplier claims, messages, documents, or platform workflows may be shared with relevant users or companies involved in that workflow.

Public platform visitors: certain company profile information, supplier information, service descriptions, industrial categories, product listings, and business information may be publicly visible if published on the platform.

Professional advisors: lawyers, accountants, auditors, insurers, consultants, and other advisors where necessary for legitimate business purposes.

Business transactions: information may be disclosed in connection with a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar corporate transaction.

Legal and safety purposes: we may disclose information where required or permitted by law, court order, regulation, legal process, government request, or where necessary to protect rights, safety, security, property, users, or the platform.

10. Uploaded Files, RFQs, and Technical Content

SupplyBoard may process CAD files, drawings, specifications, RFQs, quote documents, and other uploaded content to provide platform functionality.

You are responsible for ensuring that you have the right to upload, submit, share, and process any file or content through the platform.

We use uploaded files and technical content to provide requested services, such as RFQ processing, supplier matching, quote workflows, file viewing, conversion, rendering, analytics, and support.

We do not claim ownership of your uploaded files. However, you grant us the rights needed to host, process, transmit, display, analyze, and use the files solely to provide and improve the platform and related services.

11. Business Profile and Supplier Data

SupplyBoard may display business profile information about suppliers, manufacturers, service providers, and companies. This may include company names, public business contact information, locations, services, industrial capabilities, machines, processes, materials, certifications, website links, and related business information.

If you claim or manage a company profile, you are responsible for ensuring that submitted information is accurate, lawful, and authorized.

You may contact us to request updates or corrections to business profile information.

12. Google Sign-In

If you use Google sign-in, authentication is handled through Google OpenID Connect. Google may ask you to authorize SupplyBoard to receive basic account information such as your name, email address, profile information, and email verification status.

SupplyBoard does not request access to your Gmail inbox, Gmail messages, Google Drive, Google Calendar, or other Google services unless separately stated and authorized.

Your use of Google services is also governed by Google's own privacy policies and terms.

13. Data Retention

We retain personal information only as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide services, maintain accounts, comply with legal obligations, resolve disputes, enforce agreements, maintain security, prevent fraud, and keep business records.

Retention periods may vary depending on the type of information and the reason it is collected.

  • Account information may be retained while your account is active and for a reasonable period afterward.
  • RFQ, quote, transaction, invoice, and business records may be retained as required for legal, tax, accounting, operational, or dispute-resolution purposes.
  • Security logs may be retained for fraud prevention, incident investigation, and platform protection.
  • Uploaded files may be retained as needed to provide the service, maintain records, support users, or comply with legal obligations.

When personal information is no longer required, we will delete, anonymize, or securely retain it according to applicable law and our internal retention practices.

14. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, use, disclosure, alteration, loss, theft, and destruction.

These safeguards may include access controls, encryption where appropriate, secure authentication, password hashing, session controls, logging, monitoring, backups, and restricted access to personal information.

No method of transmission or storage is completely secure. We cannot guarantee absolute security.

You are responsible for keeping your login credentials confidential and for notifying us promptly if you believe your account has been compromised.

Deleting your account may not remove information that has already been shared with buyers, suppliers, manufacturers, service providers, or other users through RFQs, quotes, transactions, communications, or published company profiles.

19. Children

SupplyBoard is intended for business and professional users. It is not intended for children under 18. We do not knowingly collect personal information from children under 18.

20. Third-Party Links and Integrations

The platform may contain links to third-party websites, services, tools, or integrations. We are not responsible for the privacy practices, security, or content of third parties.

Your use of third-party services is governed by their own privacy policies and terms.

21. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised “Last updated” date.

If changes are material, we may provide additional notice where required by law.
